Case Studies
WhizzGo offers individual smart cards that are assigned to individual employees or group
smart cards that can be used by several members of staff. Companies can use either or a
combination, depending on their needs. Below are examples of companies that use just
individual smart cards, just group smart cards and a combination. WhizzGo can offer
considerable flexibility in the way staff can apply to join a corporate scheme and can send
details of each trip made at the time of the booking so that use of the scheme can be
easily monitored. WhizzGo invoices detail every trip made by each member of staff and, if
entered when the booking is made, any applicable job number. For more information
and advice on how best to set up a corporate account for your company, contact Peter Pratt or Derrick Smith on 08444 77 99 66 or email

The University of Leeds
In June 2005, WhizzGo joined forces with the University of Leeds to offer corporate membership of
WhizzGo to all members of staff. The University is tackling parking and congestion by delivering a
programme of more sustainable travel options in its green transport plan. WhizzGo is now an
integral part of this plan, offering staff the option to leave their cars at home and rely on WhizzGo
when they need a car for business use.
WhizzGo redesigned its website and online application form so that university staff can sign up to
the University's corporate scheme at the touch of a button. Automatic emails are then sent from
WhizzGo to the relevant finance manager for each university faculty or school for confirmation that
the applicant is a member of staff and authorised to use the scheme. Each member of staff using
WhizzGo for business is issued with their own personal smart card, paid for by the faculty or sch
ool, and details of all trips booked are sent to the member and the finance manager for ease of
record. Clear monthly invoices are sent to each faculty showing details of each trip made, making
the WhizzGo scheme extremely easy for members of staff to take advantage of and for finance
managers to co-ordinate.
With more than 6,500 members of staff at the university, WhizzGo had to design a system that
was easily accessible for staff to sign up and use, and easily managed on the billing side. Through
the online application form, it is also possible for members of staff to indicate that they would like to
use WhizzGo for personal use as well. In this instance, they are automatically directed to the
payment area for the returnable deposit of £125. When booking a car, the WhizzGo system will
recognise that the smart card is registered both for corporate and private use, and the member can
indicate online when making a booking to which area the bill should be assigned.
Arup
Arup, an international environmental consultancy, is using WhizzGo cars in both Leeds and
London, where the cars are exempt from the congestion charge because they can use LPG fuel. With a
large number of employees, Arup has chosen to use WhizzGo as the most cost-effective alternative
to pool cars and company cars. It uses group smart cards for its employees as these can be
readily collected and returned from its reception areas.
Using WhizzGo means that Arup does not have the hassle of running, maintaining and
administering a fleet of pool cars, or waste money as the cars depreciate in expensive parking
spaces. Arup also avoids company car tax complications, and makes a smart choice
environmentally, as employees leave their own cars at home.
Leeds City Council
Tim Draper, Senior Road Safety Officer in the Development Department of Leeds City Council,
says:
"We took out corporate membership of WhizzGo because we thought we should practise what we
preach. It gives us flexibility without having to run pool cars. We use public transport where possible
but at certain times - when carrying equipment and going to meetings at short notice - using a
WhizzGo car makes good sense. If I had to go to a meeting at work in the past, I might have
considered driving into Leeds and using my own car but now I don't have to."
Leeds City Council has a number of group smart cards kept at its main reception, and several other
group cards in different departments. Some people who use WhizzGo a lot have their own smart
card, as do those members of staff who use WhizzGo for personal as well as business use
